We are looking for a competent Executive Assistant (i.e "Sherpa") to provide personalized administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to the co-founders working life and communication. Your job is to make their lives more efficient! To do this role properly you should have a detailed understanding of the full Microsoft Office suite, be extremely fast at solving problems and have experience as an executive or administration assistant in the past.   • Strong computer skills in: MS Office (Word, Excel, Powerpoint), G Suite (Gmail, Google Drive, Calendar), and be able to learn new software quickly


  • Ensure administrative functions are operated in an efficient and organized manner
  • Record and distribute detailed notes after each meeting
  • Manage e-mail correspondence and take action on e-mail requests
  • Manage, maintain, and prioritize task lists, daily schedule and ensure deadlines are met
  • Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments
  • Maintain and manage office supplies
  • Maintain and develop process documents and electronic files, folders, and contents
  • Organize and assemble resources for meetings, presentations, tradeshows, etc
  • Coordinate and make arrangements for on-site and off-site meetings and events including logistics (ie. communication, location, meals, materials, and travel.)
  • Handle executive requests and queries appropriately and in a timely manner
  • Handle basic bookkeeping tasks


  • 3-5 years experience as an executive administrative assistant, senior executive assistant or in other secretarial position
  • Proficiency in English
  • Exemplary planning and time management skills
  • Up-to-date with advancements in computer software programs
  • Ability to multitask and prioritize daily workload
  • Able to take direction and adapt to our work environment
  • Discretion and confidentiality
  • High School diploma; additional qualification as personal assistant an advantage; business management and industry knowledge an asset
